How Insight Platforms captured the voice of 150 insights leaders in real time
150
insights leaders in the room
48 hours
from event close to the full recap

Insight Platforms ran five-question voice interviews across a room of 150 senior insights leaders while its event was still in progress, sent every attendee their table's summary on the spot, and published a full recap within 48 hours.
The challenge
Roundtables produce the best thinking at an event, and it usually disappears when people stand up. With 150 people spread across parallel tables, Insight Platforms wanted each group to leave with a record of what they had just discussed.
Mike Stevens designed the London day around sponsor-hosted roundtables. Each table ran one discussion in the morning and another in the afternoon. Three constraints made capturing that hard:
- Speed. Facilitators had only the coffee break to record their table's takeaways, while the people they wanted to meet were milling around nearby.
- Consistency. A different sponsor facilitated each table. Every table needed to be captured the same way so the summaries could sit side by side.
- Neutrality. Several sponsors were research technology companies that could have offered their own tool. Every sponsor had equal billing, so choosing one of them was not an option.
We wanted to capture the feedback really quickly and get it shared amongst the people around the table, so they'd have an instant, real-time replay of what they talked about.
The solution
Insight Platforms built a five-question Voiceform and connected it to Zapier and a Google Sheet before the event. Seating was planned in advance, so the automation knew who sat at which table.
- Discuss. Each sponsor facilitated its roundtable and took notes.
- Scan. At the break, the facilitator scanned a single QR code and selected their company.
- Speak. They answered the five questions out loud on their phone, and Voiceform transcribed and tidied the responses.
- Send. Zapier looked up that table's attendees in the Google Sheet and emailed everyone the processed summary.
The interview happened minutes after each discussion ended, while the detail was still fresh. Facilitators could sit quietly and talk through their answers, where typing would have cost them the break.
It's kind of voice native. Everything else is voice as an add-on, whereas this is voice by default.
The results
All 150 attendees left with a summary. Each person received a structured write-up of their discussion, covering questions such as their biggest learnings and where AI has had the most impact on their insights teams.
Accurate capture in a noisy room. Facilitators recorded on smartphones in the middle of a busy event floor, and the transcripts held up.
The fidelity in the transcriptions and what was captured, given that it was a noisy room and people were sitting there on a smartphone, I thought was really impressive.
A synthesis of the whole room within two days. Insight Platforms had built a recap template in advance. The roundtable responses joined the keynote and panel transcripts to produce a leave-behind with key learnings, implications, and actions for every attendee.
We could only really do this because we captured it in real time with the Voiceform feedback, and then it was all consolidated in one place.
It worked the first time. "Functionally it worked perfectly," Mike said. "I didn't know if it was just a stupid idea that we had before the event, but it worked really nicely."
Along the way, the same setup captured 20 roundtable discussions in parallel, from the same five questions, answered out loud.

Why it matters
Live events generate hours of expert conversation that rarely gets written down. Insight Platforms showed that you can interview people by voice in the moment, while they are still in the room, and return what they said before they have finished their coffee.
For that use case, I think it's really powerful.
